How to Export an Interview Transcript From Zoom, Google Meet and Teams

Zoom, Google Meet and Microsoft Teams can all produce a transcript file after a meeting, but the option has to be switched on, and availability depends on your plan and admin settings. Menu names change over time, so treat the steps below as the general path and check each product's current help page.

Before the interview: turn transcription on and tell the candidate

Transcripts are usually created only if transcription or recording was enabled during the call. Enable it before you start, and tell the candidate it is happening. A transcript made without the candidate's knowledge can create legal and trust problems.

Zoom

Zoom generates a transcript when cloud recording with audio transcript is enabled. After the meeting it appears with the cloud recording, and you can download it, usually as a .vtt file. Whether this is available depends on your plan and your account's settings.

Google Meet

Meet can transcribe a meeting when the host turns transcripts on, and the transcript is saved to the organiser's Google Drive as a document. Availability depends on your Google Workspace edition. You can download it from Drive as a document or text file.

Microsoft Teams

In Teams, transcription is started from the meeting controls. Afterwards the transcript is available in the meeting chat or recap and can be downloaded, commonly as a .docx or .vtt file. Your organisation's policy decides whether it is enabled.

Which file formats work

VTT and SRT are the standard caption formats and include timestamps and, usually, speaker names. DOCX, PDF and plain text also work for analysis. Rezumz accepts VTT, SRT, TXT, DOCX and PDF, and pasted text, which also covers tools such as Otter and Fireflies.

Check these before you analyse it

Open the file and look for speaker names rather than "Speaker 1", since named speakers make it much easier to identify the candidate. Skim for obvious recognition errors in names and technical terms. Confirm the full interview is there and not just part of it.

Frequently asked questions

Why is there no transcript after my interview?

Usually transcription or cloud recording wasn't switched on during the meeting, or your plan or admin settings don't allow it. It generally can't be created after the fact without a recording.

What if the transcript has no speaker names?

You can still use it, but the evaluation is less reliable because the candidate has to be inferred from context. Where you can, rename participants before the meeting.

Is a pasted transcript as good as a file?

Yes. The content is what matters. A file with timestamps and named speakers is simply easier to parse.
