How Long Should You Wait Before Interviewing a Rejected Candidate Again?

Many companies set a waiting period, often between three and twelve months, before they interview the same person again for a different role after an unsuccessful process. There is no legal standard, so the right length is a policy choice. A clear, written waiting period protects candidates from being put through repeated rounds, protects interviewers from repeating the same conversation, and gives people time to grow. Allow documented exceptions.

Why have a waiting period

Without a rule, the same person can go through several interview loops in a few weeks for similar roles, which is a poor experience and wastes interviewer time. A waiting period also stops one interviewer's earlier opinion from being ignored or, worse, forgotten by the next team. It makes the process more even for everyone.

How long should it be

A common pattern is three months for a different role in a different team and six to twelve months for the same role or level. Pick a length that matches how fast skills change in the field and how big your candidate pool is. Short enough that you do not lose strong people, long enough that a new interview means new evidence.

What counts as being interviewed

Decide in advance what starts the clock: an interview that actually took place, or feedback that was submitted, rather than an application that was never taken forward. Decide whether the same job in the same hiring round is treated as one process, since several rounds for one role are not repeat interviews.

How to match the same person

People apply with different emails and CV formats. Matching on a stable detail such as the email address on the CV is a practical start. Accept that this will miss some people who use a different address, so treat the rule as a safeguard and not a guarantee.

Allow exceptions, with a reason

Sometimes a person is a strong match for a new role soon after another. Allow a named person, such as the head of recruiting or the account owner, to approve an exception, and write the reason down so it is a decision and not a loophole.

Tell candidates

If you have a waiting period, say so in your rejection message and on your careers page: when they can apply again and that you welcome it. A rejection with a clear route back is better than silence.

In Rezumz

The account owner can set a re-interview waiting period of three, six, twelve or twenty-four months under Team and account, in block mode (only the owner can override) or warn mode (any recruiter can, with a reason). Rezumz matches people across jobs by the email on their CV, counts an interview round that took place or feedback that was submitted for a different job, and stops a new interview round or a move to Interview until the date passes. An override needs a written reason, which is saved and appears in the audit log, and the person's full profile shows every application, interview and the feedback given.

Frequently asked questions

Is there a legal minimum before someone can reapply?

No general rule exists. It is a company policy, and any rule should be applied consistently and fairly.

Should the waiting period apply to the same job?

Usually not for further rounds in the same process. It is for a new interview process after an earlier one ended.

Can I make exceptions?

Yes, with a named approver and a written reason, so the exception is a recorded decision.
